Overview

Moondance is seeking talented individuals to join us on our quest of creating the most dynamic adventure travel programs for teens. We are seeking an individual who is passionate about the outdoors and growth within Moondance to join our team. Though we are in the outdoor travel industry, this is an office job meaning that we are behind a computer most days in preparation for the summer. Individuals applying for this role must be passionate about growth within Moondance and what we do. The ideal individual must have a strong work ethic, an enthusiastic and professional attitude and have exceptional organization and administrative skills. Expectations
  • 40 hours/week is our typical schedule, with fluctuating hours during staff training and our summer season
  • In-office at our Nashville, TN headquarters
Education
  • Bachelors degree or higher required
  • Ideal degrees include business administration, communications, hospitality, marketing or finance

Accounting Coordinator

Our accounting team is made up of of self-starting, task-oriented individuals who assume a great duty in managing the financial wellbeing of the company. Your primary responsibility would be assisting the Director of Finance in processing company payroll, outfitter payments, tuition, insurance policies, etc. You will also prepare financial statements, develop cash flow projections, create and monitor trip budgets, and assist in filing quarterly and annual payroll tax returns. During the summer, you will help trip leaders reconcile all operating accounting statements.

Job specific requirements include:

  • Previous experience in bookkeeping and accounting, preferably for a small business
  • Proficiency in Microsoft Excel, QuickBooks Online, and financial process systems like Jirav and Tipalti
  • Passion for kids, education, leadership, travel, the environment, and outdoor adventure

Potential responsibilities include:

  • Assist in coordination of month-end close activities, including accurate and timely preparation of journal entries and account reconciliations
  • Oversee Accounts Payable and expense reporting activities ensuring appropriate documentation and approval for all invoices prior to payment
  • Ensure processes and procedures are developed and maintained resulting in the effectiveness of the department
  • Collaborate closely with the finance leadership team and cross-functional partners to implement best practices, optimize work processes, and play a key role in leading or participating in special projects that involve various functional groups, ultimately contributing to the growth and success of the organization.
  • Assist in internal and external reporting and compliance to ensure our financial data meets regulatory standards.
  • Follow company policies regarding safeguarding of company assets, internal controls and provide feedback to improve certain policies
  • Documentation, contribution and maintenance of the Finance Department Operations Manual
  • Assist with financial reporting deliverables as needed
  • Continually evaluate and optimize month-end close processes to deliver process automation and improved  accuracy
  • Develop/enhance, implement and enforce accounting policies, internal controls, and procedures that will improve the overall operation and reduce risks of the business
  • Partner with and liaison with other departments on analyzing financial results, problem resolution, and strategic business initiatives
  • Participate in special projects and perform other related duties as assigned
  • Proactively builds team, processes and systems infrastructure in a high growth environment. Produces recommendations for senior leadership and leads system enhancements and/or implementations
  • Establish, maintain, and nurture relationships with key vendors and external partners such as banks, accountants, consultants and retirement plan professionals
  • Assist in working capital and cash management processes and reporting
  • Maintain a documented system of accounting policies and procedures; implements a system of controls over accounting transactions to minimize risk and increase consistency and accuracy.
  • Work with external tax accountant and provide needed information for the annual tax preparation activities
  • Ensure accurate and timely compliance with all required income and business tax filings

Summer responsibilities include:

  • Participate and assist with our pre-summer 12-day, intensive, off-site Staff Training
  • Handle incoming parent and student calls related to summer concerns
  • Support trip leaders with student information, trip logistics, and communication expectations
  • Post online trip updates and notify families
  • Contribute to post trip debrief with trip leaders in departmental capacity
