Overview

Moondance is seeking talented individuals to join us on our quest of creating the most dynamic adventure travel programs for teens. We are seeking an individual who is passionate about the outdoors and growth within Moondance to join our team. Though we are in the outdoor travel industry, this is an office job meaning that we are behind a computer most days in preparation for the summer. Individuals applying for this role must be passionate about growth within Moondance and what we do. The ideal individual must have a strong work ethic, an enthusiastic and professional attitude and have exceptional organization and administrative skills. Expectations
  • 40 hours/week is our typical schedule, with fluctuating hours during staff training and our summer season
  • In-office at our Nashville, TN headquarters
Education
  • Bachelors degree or higher required
  • Ideal degrees include business administration, communications, hospitality, marketing or finance

Admissions Coordinator

Our admissions team is full of hardworking, bright spirits who exude hospitality. Your primary responsibility is customer service, particularly in a phone-based service environment. Expect to be a sales and marketing connisseur; serving as a family liaison for all things trip related, including travel documentation, retail and gear, and email coordination to name a few. You should have excellent written/verbal communication skills and be a natural self-starter.

Job specific requirements include:

  • Previous experience with summer programs, admissions/marketing, customer service, retail
  • Social media marketing experience
  • Adobe InDesign, Lightroom, Canva and other graphic design experience
  • Passion for kids, education, leadership, travel, the environment and outdoor adventure

Potential responsibilities include:

  • Front Line communications
    • Answer calls and guide families in the enrollment process
    • Answer daily email inquiries
    • Follow sales process for inquiries including promotional letter + catalog and follow-up phone calls
    • Maintain a friendly, positive, and comforting attitude daily
    • Maintain database, tracking enrollment trends and metrics
      • Database proficiency and Excel proficiency required
  • Family Liaison – Customer Service Orientated
    • Point of contact for families with trip, paperwork, travel, and other concerns
    • Building and maintaining relationships with families
  • Paperwork Processing – Travel Documentation
    • Assist in creating + processing paperwork and follow up with families
    • Data entry of all incoming information for enrollments (applications, paperwork, travel information, etc.)
    • Assist in distribution/coordination of international travel documentation requirements
  • Mail & Email Coordination
    • Compile Trip Information Packets (TIPs) and distribute to families
    • Email + mail newsletters and trip information to families throughout the season

Summer responsibilities include:

  • Participate and assist with our pre-summer 12-day, intensive, off-site Staff Training
  • Handle incoming parent and student calls related to summer concerns
  • Support trip leaders with student information, trip logistics, and communication expectations
  • Post online trip updates and notify families
  • Contribute to post trip debrief with trip leaders in departmental capacity
