Moondance is seeking talented individuals to join us on our quest of creating the most dynamic adventure travel programs for teens. We are seeking an individual who is passionate about the outdoors and growth within Moondance to join our team. Though we are in the outdoor travel industry, this is an office job meaning that we are behind a computer most days in preparation for the summer. Individuals applying for this role must be passionate about growth within Moondance and what we do. The ideal individual must have a strong work ethic, an enthusiastic and professional attitude and have exceptional organization and administrative skills. Expectations
  • 40 hours/week is our typical schedule, with fluctuating hours during staff training and our summer season
  • In-office at our Nashville, TN headquarters
Education
  • Bachelors degree or higher required
  • Ideal degrees include business administration, communications, hospitality, marketing or finance

Operations Coordinator

Moondance is seeking a talented individual to join our Operations team and contribute to our why of creating an experience of a lifetime for teens. We are seeking an individual who is passionate about the outdoors with proven logistical experience. The Operations Coordinator will be responsible for assisting in the seamless designing, organizing, and managing of our trips throughout the world with the goal of creating a “trip of a lifetime” for our students. This individual will be part of Moondance’s administrative team.

Though we are in the outdoor travel industry, this is an office job meaning that we are behind a computer most days in preparation for the summer. This individual must have a strong work ethic and be able to meet deadlines as assigned. This individual must possess strong organizational and computer skills to help us continue to develop as one of the finest travel programs for teens. We like our small company’s unique culture that provides an environment that rewards outgoing, curious people who are self-starters. Responsibilities will encompass everything from booking hundreds of campsites/accommodations, arranging transportation, upholding good standing with the U.S. National Parks and Forests, providing trip budgets, and supporting the entire Operations team. In addition, this individual will be tasked with elevating current trip itineraries and the development of new trip destinations.

Things you’ll do:

  • Assist domestic and international operations – logistics with outfitters, campgrounds, accommodations, park services, and transportation companies
  • Ensure high quality of trips, including but not limited to, excellent activities, professional outfitters, great food, appropriate accommodations, etc.
  • Assist the preparation of logistics manuals (Kelly Notebook) for each individual trip
  • Assist in updating vendor contacts, rates, and related information into our CRM system (Insightly)
  • Assist updating the trip budgets, pricing, and payments with the Finance team to provide details of all costs incurred to operate each individual trip
  • Assist in Risk Management for both individual trip Emergency Resources and administrative Emergency Action Plans; contribute to the Incident Database
  • Participate in our 12-day Staff Training – teach lessons, review trip logistics with leader teams, develop relationships with leaders, embody the Moondance culture
  • Manage summer operations alongside the rest of the administrative team – communicate with leaders and parents, quickly problem solve, respond to incidents and emergencies 
  • Debrief leaders at the summer’s conclusion, adding detailed information to the trip notes 
  • Contribute as a team member to Moondance development, policies, and procedures
  • Be ready to take on more responsibility given your knowledge and experience with Moondance
  • Stay true to the Moondance philosophy and core values

Skills you’ll have:

  • Familiarity with Moondance 
  • Previous logistics training in the travel industry 
  • Previous experience with budgeting, finance, or accounting  
  • Enthusiastic and professional attitude
  • Creative thinker, curious – likes to problem solve and know why
  • Logistically minded and very detail-oriented
  • Confident working under pressure in a fast-paced office environment 
  • Strong customer service and interpersonal skills – particularly in a phone-based service environment 
  • Exceptional organizational and administrative skills
  • Excellent communication skills, both written and verbal
  • Ability to work independently and as an integral part of a team
  • Familiarity with budgeting and finances
  • Proficiency in MS Office Products, including (but not limited to) Excel and Word
  • Proficiency in Google Products, including Gmail, Google Docs and Google Sheets applications
  • Comfortable working with (or quickly learning) other computer applications such as our CRMs, CampSite and Insightly

Education:

  • Recent college graduate – our office is a very young, dynamic environment.
