Moondance is seeking talented individuals to join us on our quest of creating the most dynamic adventure travel programs for teens. We are seeking an individual who is passionate about the outdoors and growth within Moondance to join our team. Though we are in the outdoor travel industry, this is an office job meaning that we are behind a computer most days in preparation for the summer. Individuals applying for this role must be passionate about growth within Moondance and what we do. The ideal individual must have a strong work ethic, an enthusiastic and professional attitude and have exceptional organization and administrative skills. Expectations
  • 40 hours/week is our typical schedule, with fluctuating hours during staff training and our summer season
  • In-office at our Nashville, TN headquarters
Education
  • Bachelors degree or higher required
  • Ideal degrees include business administration, communications, hospitality, marketing or finance

Operations Coordinator

Our operations team is full of hardworking, logistically-minded individuals who have an incredible eye for detail. Your primary responsibility would be assisting in the design, creation and execution of our industry gold-standard trips. Expect to be well-versed in trip budgeting, project development and risk management. You will be the liaison between Moondance and our outfitters that span the world, ensuring exceptionally high quality activities, accommodations, transportation, food and itineraries.

Job specific requirements include:

  • Previous experience with summer programs, project management, outdoor gear and budgeting
  • Proficiency in Microsoft Excel
  • Passion for kids, education, leadership, travel, the environment and outdoor adventure

Potential responsibilities include:

  • Assist domestic and international operations – logistics with outfitters, campgrounds, accommodations, park services, and transportation companies
  • Ensure high quality of trips, including but not limited to, excellent activities, professional outfitters, great food, appropriate accommodations, etc.
  • Assist the preparation of logistics manuals (Kelly Notebook) for each individual trip
  • Assist in updating vendor contacts, rates, and related information into our CRM system (Insightly)
  • Assist updating the trip budgets, pricing, and payments with the Finance team to provide details of all costs incurred to operate each individual trip
  • Assist in Risk Management for both individual trip Emergency Action Plans and administrative Emergency Action Plans; contribute to the Incident Database
  • Participate in our 12-day Staff Training – teach lessons, review trip logistics with leader teams, develop relationships with leaders, embody the Moondance culture

Gear responsibilities include:

  • Maintain inventory of all items in company warehouse
  • Have active understanding of all warehouse related tasks and systems
  • Organize shipment of any gear items to be repaired by 3rd party repair company
  • Create annual gear ordering proposal based on needs of upcoming season
  • Oversee ordering of all gear items and ensure their properly delivery and organization in company warehouse
  • Oversee packing and shipping of trip specific gear before the summer season
  • Oversee cleaning and maintenance of gear at the end of the summer season
  • Administration of corporate logistics account via shipping partner (Unishippers)
  • Maintain positive relationships with brand specific vendors and representatives

Summer responsibilities include:

  • Participate and assist with our pre-summer 12-day, intensive, off-site Staff Training
  • Handle incoming parent and student calls related to summer concerns
  • Support trip leaders with student information, trip logistics, and communication expectations
  • Post online trip updates and notify families
  • Contribute to post trip debrief with trip leaders in departmental capacity
